We are working with a respected patent and trade mark attorney firm local to Caterham who are seeking a proactive and detail-focused Patent Secretary / IP Administrator to support the business owner and wider team. This is a varied, hands-on role in a fast-paced specialist environment, involving a broad range of secretarial, administrative, and client support responsibilities.

 

The role will suit someone who is confident managing a busy workload, works well under pressure, and takes pride in getting the detail right. You will be dealing with intellectual property administration, patent-related correspondence, records management, client communication, and filing support across UK, European, and international systems.

 

Salary: £30,000 – £35,000 depending on experience

Location: Caterham

Hours: 9am to 5pm, Monday to Friday

Benefits: 22 days holiday, onsite parking, Employee Assistance Program (EAP)

 

Key responsibilities

  • Preparing letters and invoices to clients.
  • Maintaining and updating databases and case records.
  • Preparing documents for filing with the UK Patent Office, European Patent Office, and EUIPO.
  • Typing and formatting general correspondence.
  • Scanning and filing documents electronically.
  • Monitoring incoming emails and organising workflow.
  • Taking and transferring incoming calls.
  • Supporting day-to-day office administration and ad hoc tasks.
  • Covering administrative duties during staff holiday or absence.

 

What we are looking for

  • Recent solid secretarial or administrative experience, ideally within IP, patents, trademarks, or legal.
  • Strong attention to detail with a careful and methodical approach.
  • Excellent written and verbal communication skills.
  • Good IT skills, including Word, Excel, Outlook, and PowerPoint.
  • Ability to pick up bespoke systems quickly.
  • A flexible, proactive attitude and willingness to learn.
  • Interest in building a career in patents and working towards the CIPA Patent Administrator qualification.
