We have a fantastic opportunity for an Office Assistant working for an independent charity based in Wallington.

This client specialises in “around the clock” support to the general public – every minute of every hour of every day will be different. Working in the busy HR division of this crime-fighting UK charity, this is a fantastic opportunity for an experienced individual to support the Headquarters in a variety of areas. Not only will you be the first point of contact for all external callers and visitors to the office, you will be responsible for the administration assistance; looking after outgoing post, as well as big mailouts and booking couriers. All-round support to other departments within the charity is key, including HR, Communications, Youth and Operations.

Offering a starting salary of £19,030.88, working Monday to Friday 9am – 5pm. Benefit include Online benefit scheme, 24hr advice line, cycle to work scheme, pension, a free lunch.

What will your working week be like?

  • Maintaining office records on contractors, maintenance and Landlord paperwork, including completing monthly invoice reconciliations for the Head of HR.
  • Answering phone calls and distributing or taking messages
  • Managing CST main Inbox and distribution emails accordingly
  • Ensure all visitors complete Non-Disclosure Agreements and maintain logs and copies for audit purposes
  • Arranging visits to Head Quarters and where necessary booking hotel and travel arrangement.
  • Respond to general enquiries, run errands and performing miscellaneous job-related duties as assigned. The ability to prioritise and handle multiple projects when given to them. Managing post distribution, arranging couriers. Managing Car Park allocations for Colleagues.
  • Build positive relationships with visitors, providing a positive image at all times. As well as building up strong working relationships with all departments, including CEO, Directors, HR & Regional Managers.
  • Stocking and distributing all Head Quarter office supplies and sticking to budgets.
  • General maintenance of the building including be the main contact for the Landlord, Cleaners Contractors, electrics. Ensuring the company are fully H&S covered on a yearly basis for PAT testing, Fire risk assessments and fire extinguishers yearly checks.
  • Coordinating the purchase of office equipment such as printers, phones, headsets, computers, and facilities
  • Ordering of all Head Quarters stationary, and kitchen supplies including office milk and materials.
  • Ordering and distributing of Business Cards and ID Badges.
  • General cleanliness and upkeep of all areas, this includes communicating with cleaners and their managers, window cleaners, bin collectors, vending machine, assured shredding, and all external contractors.

Who will suit this role?

This role will suit an individual who would like exposure to various areas of the charity. An interest in law and the voluntary sector would be an advantage. The ideal candidate will have previous front of house experience.

  • Administration experience with good communication skills, both written and verbal
  • Good organisational skills with the ability to prioritise tasks and handle multiple projects to ensure high productivity
  • Experience of managing risk
  • Call Handling experience
  • Proficient in Microsoft Office
  • Basic understanding of Health and Safety within an office environment (Desirable)
