Salary: £10.00 - £12.00 per hour

Location: Oxted with travel to Crawley

Start: ASAP – minimum 8 weeks, 37½ hours per week

 

You will be a key member of the busy Planned Care Team, dealing with a range of issues in a fast paced environment.  You will be required to work quickly, accurately and proactively to deliver high quality administrative support, occasionally dealing with highly sensitive matters and confidentiality will be essential.

 

One of the key responsibilities is to coordinate and take minutes at various meetings and organisation wide meetings.  You will be required to work across 2 sites – Oxted & Crawley.

 

What will you working week be like:

 

  • The Administrator role will support the Planned Care team to enable their work stream of programmes to be planned and managed effectively, maintaining appropriate systems.
  • Responding appropriately to incoming telephone queries, mail and emails
  • Developing and maintaining effective paper and electronic filing systems; assisting with the production of key documents
  • Regularly taking meeting notes; assisting with organising events and meetings; maintaining contact and distribution lists
  • Assisting with coding and filing invoices; establishing and maintaining databases.
  • Responsibility for organising specific meeting which involves preparing and distributing agendas and papers and taking minutes.
  • Supporting specific managers as required including diary management and maintaining a ‘brought forward’ system to ensure that the managers have access to relevant papers at the appropriate time.

 

Do you have the relevant skills & experience?

 

  • Competent user of IT systems including email, Word and Excel.
  • Responsible for prioritising own work load and working without direct supervision.
  • Experience in minute taking
  • At least 2 years’ experience in an administrative role
  • Dealing with sensitive and confidential matters
  • Experience in supporting or managing projects
  • Ability to use initiative to organise and prioritise own workload to meet deadlines
  • Excellent organisational skills
  • Excellent communication skills (written and oral)
  • Enthusiastic team player
  • Flexible approach to work to meet deadlines
  • Ability to travel as travel between various sites may be required from time to time
  • Have own transport and valid driving licence
